Vendor Approval Application
To render services at Sunset Oaks, your business must obtain pre-authorization and agree to the terms of service.
Please fill out the form below and send us the necessary documents. We’ll notify you via email once you’re approved!
Requirements
All Vendors and/or individuals providing a service at Sunset Oaks shall carry and maintain in full force and effect the following:
General liability insurance at $1,000,000 per occurrence / $2,000,000 general aggregate AND statutory minimum employers liability, where required by the state of Texas.
Drone users must also carry Unmanned Aircraft Insurance and pre-register with the FAA to fly in the airspace at Sunset Oaks due to the proximity to the airport.
General Liability Insurance carrier shall name Top Shelf Events, LLC AND Sunset Oaks, Inc. as additional insured.
It is the responsibility of the Provider to maintain the required coverage and send updated COI's upon renewals to hello@sunsetoaksvenue.com.
Caterers should be licensed and certified to serve food.

Certificate of Insurance- this is a document your insurance provider can easily send you to prove you carry Commercial Liability Insurance. They simply add “Sunset Oaks, Inc” as additionally insured and email us a copy at hello@sunsetoaksvenue.com

Any vendor providing an onsite service is required to carry commercial liability insurance. We’ll review the COIs for DJs and caterers individually.

Event insurance protects the client from personal liability. For example, if they or one of their guests cause significant damage to the venue, event insurance can cover this. However, all vendors and vehicles are excluded from this coverage.

You can purchase a temporary policy from Thimble.com OR https://partners.insurancecanopy.com/sunset-oaks-venue Be sure to list Sunset Oaks, Inc. as an additional insured. Only commercial liability is required, and it typically costs under $100.

As a helpful family member or friend, you are a guest and not subject to vendor requirements.
We request you do not label yourself as a “coordinator, DJ, caterer, etc” as to avoid any confusion with the staff who may have specific instructions for vendors.
Recall- vendors will not be served alcohol.
