How Far in Advance Should You Book a Wedding Venue? A Guide for East Texas Couples

You don't need your colors picked, your bridesmaids asked, or a 47-tab spreadsheet built. But if you want to get married next year knowing how far in advance to book a wedding venue is the first thing worth figuring out, because almost every other decision waits on it.

If your FYP is full of newly engaged brides who seem to have their entire wedding planned already? Don't let that convince you you're behind.

Here's when to start, what to decide first, what can absolutely wait, and how to tell if you're behind (spoiler... you're probably not).

The Quick Answer

Start looking at venues as soon as you've got a rough season and guest count in mind. If you have your heart set on a Saturday in October or April, start right away. Those are the months couples ask us for most, and popular dates go fast.

If you're flexible on the month or happy with a Friday or Sunday, you have a lot more room.

And if you're not engaged yet but already have a Pinterest board and a few favorite venues saved? You're in good company. More than half of the people who book a tour with us are still browsing or not engaged yet.

Decide These 3 Things Before You Book a Wedding Venue

Before you send each other another 15 wedding venues, sit down together and figure out these three things.

You don't need a full plan. You need three rough answers, and you need them together.

1. Your season or month range.

"Fall 2027" is enough to start. Not sure which month? Read our guide to the best month to get married in Texas.

2. A rough guest count.

It decides which venues even fit you. Our reception hall seats 175 with a dance floor, for example, and the most common guest count on our tour form is 100 to 125.

You can figure out the complicated family invitations later. For now, just get a realistic number.

3. The budget you're comfortable with.

Not what someone else's wedding cost. What makes sense for the two of you?

East Texas couples typically spend $15,000 to $25,000 on a weekend wedding with dinner and a bar for 125 guests. Your season, day of the week, and choices move that number a lot. Our post on how to budget for your Tyler, Texas wedding breaks it all down for you.

Bonus question for the two of you: How do you want the day to FEEL?

"We want to actually enjoy our wedding instead of managing it" points you toward a very different venue than "I want my hands on every detail."

Neither is wrong. But knowing which couple you are makes the next decisions a whole lot easier.

Why the Venue Comes First

Your venue and your date unlock everything else. You find a photographer you love, the first thing they ask, "What's your date?" You reach out to a caterer? Same question. Your DJ and hair and makeup artists are going to ask it too.

Until you've confirmed your date with your venue, you're trying to plan around a question mark.

Your venue also decides things you might not expect: how many vendors you'll need to hire yourself, whether you need a tent, whether you need to rent tables and chairs, and who's onsite running things on your wedding day.

You're not just choosing where your wedding happens. You're also choosing how much of the planning you'll be responsible for.

What Can Absolutely Wait

This list is for the bride who's already lying awake at 2 a.m. wondering if she's behind on centerpieces, isle markers, and the seating chart.

We love a Type A bride. But your engagement doesn't need to become a second full-time job.

  • Your color palette. Pick it after you've seen the space. Your Pinterest board can keep evolving until then.

  • Asking your bridesmaids. The cute proposal boxes can wait until the date is locked.

  • Decor. Before you spend hundreds ordering on Etsy or at Hobby Lobby, find out what's already included. At Sunset Oaks, you can borrow from thousands of decor items in our Something Borrowed Boutique at no charge. Couples plan their look at our decor open houses after they book, with unlimited open house visits.

  • Your timeline. If you have a coordinator, your timeline gets built with them. Our coordinators lock the floor plan, timeline, and vendor confirmations at the 30-day meeting.

  • Your rehearsal. At Sunset Oaks, you book that up to 60 days before the wedding.

  • Favors. Lottery tickets are having a moment, and they can wait until spring.

You have permission to enjoy being engaged without making every wedding decision this week.

Am I Behind? Where You Should Be for a Wedding next year.

"I'm worried about being behind schedule" is one of the things couples tell us most. With everyone posting their wedding countdowns, booking announcements, and planning checklists, it's easy to feel like you're the only one who hasn't figured everything out. But not every couple is working with the same timeline.

Find where you are in the planning process below. You might have more time than you think."

Starting your search in late fall or early winter?

You're right in the middle of engagement season! If you're planning a wedding next year, now is a great time to tour venues and secure your date, especially if you're hoping for a popular spring or fall Saturday.

Once you've booked your venue, you can start working through the rest of your wedding planning checklist.

Starting in spring or summer for a fall wedding next year?

Very doable. Book your venue and the big vendors first (photographer, caterer if you're not doing a package), then fill in the rest.

An all-inclusive package can save you a lot of vendor hunting on a shorter runway.

Starting a few months out?

Look at Fridays, Sundays, and weekdays. That's where you may find more open dates, and the savings can be real.

Couples who moved their wedding up still pull it off. One of ours moved her date up by 4.5 months.

Tour, Take notes, and come back when it’s official.

Not engaged, just looking?

Totally normal. Tour, take notes, and come back when it's official.

One comment we loved: "Am I engaged? No. Did I watch the whole thing? Yes."

We see you.

How Booking a Wedding Venue Works at Sunset Oaks

Okay, so you've decided it's time to actually start looking at venues. Here's exactly how the process works at Sunset Oaks in Tyler, Texas.

1. Check the dates.

Our available dates are posted right on the Dates page. Pricing is on the site too.

2. Tour.

Private, about an hour, onsite or on FaceTime. Tours are on weekdays because weekends are for weddings, and slots open two weeks ahead.

Bring your fiancé, your questions, and yes, the Pinterest screenshots. Book a Tour

3. Request Your Date

After you tour the venue, Email info@sunsetoaksvenue.com with your date and estimated guest count. We send an online proposal, and it's good for 48 hours.

4. Sign the contract.

It's all e-sign. Your date is reserved once the contract is signed.

5. Pay the date reservation fee.

It's 25% of your venue plus package total, due within 7 days of signing.

6. Pay over time.

25% down, then quarterly payments, with your final payment due 3 months before the wedding. No processing fees on ACH, check, or cash, and no security deposit.

After that? You get an onboarding call, decor open houses, and an online planning portal that opens about 3 months out, and just like that, you can stop saying, "We really need to find a venue." Because you've just found the one.
